StockMate – Liquor counting on the Psion

Standard StockMate program

Start the Program	Use the arrows ¬ ® to choose the Stocks program and press <Enter> You can press Z to bypass the copyright message. If StockMate is authorised to run in multi-outlet mode, you will be prompted for the outlet number. Type in the appropriate number and press <Enter> While the products are being read, you can press Y to exit if you do not want to continue.
Product Code	Type in the product code and press <Enter> The product details will be displayed Type in the number of items and press <Enter> e.g. 2.5 for bottles of spirits, or the number of dozens of packaged beer Type in the number of units and press <Enter> If the product is counted in dozens you should enter the number of individual bottles You will now be put back to the Product Code prompt If you are using the weighing scales, at the items prompt, you should press a 'w'. This will weigh the item and calculate how full it is.
Scanning Products	If you are using a Scanner Psion Workabout, press <Scan> to scan a product's barcode The product details will be displayed and you can continue as per above, as though you had typed in the product code If the barcode is not recognised, you can assign the barcode to a product code. You will be prompted to do this and you should answer the questions as appropriate
Searching for Products	Type in a dot (.) A list of all/live products will be displayed in Code order Use the arrows ¯ to find the product required and press <Enter> You can now enter the quantities For a more effective search, type in the first character of a product code and then a dot. The products displayed will be those whose codes start with the character you typed Type in a slash (/) A list of all/live products will be displayed in Description order Use the arrows ¯ to find the product required and press <Enter> You can now enter the quantities For a more effective search, type in the first character of a product description and then a slash. The products displayed will be those whose descriptions start with the character you typed Type in a minus (-) A list of all/live products will be displayed in Bin Number order Use the arrows ¯ to find the product required and press <Enter> You can now enter the quantities For a more effective search, type in the first character of a bin number and then a minus. The products displayed will be those whose bin numbers start with the character you typed Press <Ctrl>-L to toggle the all/live setting. The current setting is shown at the top of the screen. You will be prompted to confirm you want to do this. The search screen will be redisplayed reflecting the new all/live setting. Press X to obtain full information about the product currently selected. This will help if products have long descriptions.
Quick Entry	With the search screen displayed (as per above) Use the arrows ¯ to find the product required but don't press <Enter> Type in the number of items As soon as you type a number, the 'Items' prompt will be displayed at the top of the screen and you can complete the Items and Units Continue to scroll up and down and enter quantities for different products
QuickScreen Operation	Press <Ctrl>-Q when at the product code prompt The product details line will not be displayed on the screen enabling very fast entry of data without getting out-of-synch.

Products

Adding Products

You must be on the search screen to add a product.

Press <Ctrl>-A

You will be prompted to enter the product code, a description, a size description, a count and a selling price

The product will then be added to the search list and you can select it to add the quantities

You will not be able to use this option on multi-bar outlets

Locations

Changing Locations	Press <Ctrl>-L when at the product code prompt A list of the bar's locations will be displayed. Use the arrows ¯ to select the location to move to and press <Enter>
Adding Locations	Press <Ctrl>-A when on the locations screen Type in the name of the new location and press <Enter> You can now select the new location to start counting

Bars

Changing Bars

Press <Ctrl>-B when at the product code prompt

A list of bars will be displayed

Use the arrows ¯ to select the bar to move to and press <Enter>

Outlets

Changing Outlets

(For multi-outlet authorisation)

Press <Ctrl>-O when at the product code prompt

You will be prompted to confirm that you want to change the outlet

You will then be prompted to enter the outlet number.

Type in the number and press <Enter>

Scanning

Zero barcodes	Press <Ctrl>-Z when at the product code prompt You will be asked to confirm whether the barcodes for the last product will be zeroed Use the arrows ¯ to select the bar to move to and press <Enter>
Initialise Scanner	Press <Ctrl>-I when at the product code prompt Very occasionally, the scanner fails to operate. This option will initialise and test the scan function.

Other functions

Change Selling Price	Press <Ctrl>-S when at the product code prompt. You must have already selected a product and possibly entered a count for it You will be prompted to enter a new selling price. Type it in and press <Enter>
Audit Trail	Press <Ctrl>-T when at the product code prompt or on the search screen The audit trail will be displayed. Use the arrows ¯ to view it Press On/Esc to return to your previous screen
Un-Counted Product Check	Press <Ctrl>-U when at the product code prompt A list of all of the products that have not been counted will be displayed in description order Press On/Esc to return to the product code prompt

StockMate Result option

If you have purchased this option and been authorised, the following functions are available.

Allowances

Adding/Changing Allowances

Press <Ctrl>-A when at the product code prompt

A list of the allowances will be displayed as set up on the PC

Use the arrows ¬ ¯ ® to select the box you want to change and press <Enter>

You will be put into edit mode.

Use the arrows ¬ ® and the Del key to change the text that is there and type in what is required. Press <Enter> to finish the changes.

Press On/Esc to return to the main menu.

Changes you make to the Allowance descriptions will be fed back to the PC.

Receipts

Entering Cash Receipts

Press <Ctrl>-R when at the product code prompt

The screen will change and you will be prompted to enter the total value of the receipts.

The top line of the screen shows the name of the bar and the value of any receipts that have already been entered.

Type in the new figure

If some receipts have already been entered, you will need to add up the two figures and type in the total

Press <Enter> to complete the operation

Result

Calculating the result

Press <Ctrl>-N when at the product code prompt to display the result on screen

Press <Ctrl>-P when at the product code prompt to print the result on a mobile printer

If on-screen, the screen will change to show you the report

Use the arrows ¯ to scroll up and down the report

Individual product consumption is displayed followed by a summary of the calculations for the result, e.g.

Cons @ Retail 3448.45

Allowances 85.00

Income 3308.50

Deficit 54.95

% 1.66

Press <On/Esc> to return to the main menu

StockMate Plus program

If you have purchased this option and been authorised, the following functions are available.

The StockMate+ program is intended for outlets which have large numbers of products, e.g. wine stores. Whereas the standard program can only deal with 1500 products, this can work with up to 4000. Unfortunately, to compensate for this increase in products, there is less functionality than in the standard program, namely :

add products

scroll through a search list of products and enter quantities (although see searching below)

change selling prices

enter allowances, receipts and calculate a result

quickscreen entry

un-counted product check

Searching for Products	Once you have viewed a product, by typing either the product code or the bin number, you can move on to the next/previous product by pressing the up/down arrow. If you used a code, it will move on to the next code and if you used a bin number, it will move on to the next bin number.
More information	Press X to obtain full information about the product currently selected. This will help if products have long descriptions.
